Emergency repairs have an annoying habit of happening after hours, during bad weather or while the building is full of tenants.
Preventive maintenance cannot eliminate every failure. It can, however, make building problems easier to spot before they become emergencies and give property managers more control over scheduling, budgeting and vendor selection.
ENERGY STAR recommends regular equipment checks and preventive maintenance as part of efficient commercial-building operations, while EPA building-maintenance guidance emphasizes maintaining an equipment inventory, conducting walkthroughs and addressing major systems such as HVAC, plumbing, roofs, lighting, fire protection and power distribution.
The calendar below is designed as a planning framework for Sacramento commercial properties, not a universal maintenance schedule. Equipment manufacturers, contractors, insurers, leases and regulatory requirements may call for different service intervals.
January: Start with records, roofs and recent storm damage
Begin the year by reviewing what happened to the building during the previous twelve months.
Look through repair invoices, tenant complaints, leak reports, HVAC calls and emergency work. Repeated service calls are often more useful than an arbitrary maintenance schedule because they reveal which systems are actually causing problems.
January is also a good time for post-storm roof and drainage observations. Sacramento's storm-preparedness guidance emphasizes keeping gutters and storm drains clear because debris can contribute to drainage problems during heavy rain.
Confirm that roof drains, scuppers, gutters and downspouts are moving water where intended. Document interior ceiling stains even if they are currently dry.
February: Review plumbing and water systems
Inspect mechanical rooms, restrooms, janitorial rooms and other areas containing water lines.
Look for corrosion, staining, slow drains, loose fixtures, continuously running toilets, unexplained water use and evidence of old leaks.
Make sure staff knows the location of the building's primary water shutoff and, where applicable, individual tenant or equipment shutoffs.
A shutoff valve is far more useful when the person responding to an emergency already knows where it is.
March: Prepare HVAC before peak cooling demand
Do not make the first hot week of the year the first time anyone thinks about the cooling system.
Review HVAC service history and recurring tenant comfort complaints. Inspect filters, coils, condensate systems, belts, electrical components, controls and rooftop equipment according to the needs of the actual system.
EPA notes that diligent HVAC maintenance is important both for adequate air delivery and indoor air quality.
If a rooftop unit has required repeated repairs, March is also a good time to compare qualified Sacramento commercial HVAC companies and obtain replacement options before a failure forces an emergency purchasing decision.
April: Walk the exterior
Walk the property rather than reviewing it from a vehicle.
Look closely at pavement, curbs, accessible routes, exterior lighting, fences, gates, irrigation, landscaping, signage, walls, windows and exterior doors.
Pay particular attention to places where water collects or where vegetation touches the building.
Photograph deteriorating conditions and keep the pictures with the building's maintenance records. Comparing the same location every six or twelve months makes gradual deterioration much easier to recognize.
May: Review the roof before summer work begins
Commercial roofs often share space with HVAC contractors, electricians, communications installers and other trades.
Inspect the roof before summer projects increase rooftop traffic.
Document membrane damage, old patches, penetrations, flashing, drainage conditions and areas around mechanical equipment.
If a roof is already nearing a major repair or replacement decision, coordinate roofing work with future HVAC, solar or equipment projects instead of treating each system independently.
June: Check HVAC controls, comfort and operating schedules
Once cooling demand increases, compare how the building actually performs against how the system is supposed to operate.
Look for zones that are consistently too hot or cold, equipment running when the building is unoccupied, overridden thermostats and recurring comfort complaints.
ENERGY STAR specifically recommends evaluating after-hours operation and optimizing equipment start-up, shutdown and sequencing as part of commercial building energy management.
A building that reaches temperature only by running equipment unnecessarily may have a controls problem rather than simply “high energy bills.”
July: Review electrical and power-outage readiness
Identify the systems that become critical during a power interruption.
That could include access control, alarm systems, refrigeration, servers, emergency lighting, sump pumps, elevators or other property-specific equipment.
Determine what is backed up, what is not and who needs to respond after an outage.
Do not wait for a power failure to discover that an emergency contact is outdated or that nobody knows which equipment should be checked after power returns.
August: Make the building smoke-ready
Wildfire smoke deserves its own operating plan.
EPA's current guidance for commercial and public buildings recommends preparing before smoke events by understanding HVAC operation, filtration, building leakage and procedures for switching the building into a smoke-ready mode.
Document what your HVAC contractor recommends for your particular building rather than improvising outdoor-air and filtration settings during poor air quality.

September: Prepare the roof and drainage system for rain
Before fall debris and winter storms arrive, revisit roof drainage.
Clear accumulated debris where this can be done safely. Inspect gutters, scuppers, roof drains and discharge points.
Also review known leak locations from previous winters. A stain that dried out in May should not disappear from the maintenance plan simply because it stopped raining.
October: Review life-safety and emergency systems
Review the building's current inspection and testing records for the systems that apply to the property.
That may include fire alarms, sprinklers, emergency lighting, exit signage, generators, fire extinguishers or other equipment.
Do not substitute a property-manager visual inspection for professional inspection or testing where those services are required.
Use October as the management review: Is documentation current? Are deficiencies still open? Does the right vendor have responsibility?
November: Prepare for storms and flooding
Sacramento property owners should take drainage seriously even if their property does not sit inside a mapped Special Flood Hazard Area.
Before major storms, inspect water-entry points, exterior drains, roof drainage, vulnerable storage and below-grade areas.

December: Build next year's maintenance and capital plan
At the end of the year, convert repair history into a budget.
Separate routine maintenance from systems approaching major replacement.

This is where maintenance records become financially valuable.
The most important maintenance habit: keep records
A maintenance calendar is useful. A maintenance history is better.
For every meaningful service event, record the date, equipment or location, reported problem, contractor, diagnosis, work performed, cost, photographs when useful and recommended follow-up.
Over time, that record becomes one of the most valuable operational documents for the property.
